Executive Assistant Job, Gorleston on Sea, Norfolk


On behalf of our client, a very well established and highly recognised medical device manufacturer, we are recruiting an Executive Assistant to the VP. This is a very exciting role in a business that has a very strong footprint in EMEA with strong plans to further grow and expand.
In this role you will be the supportive force that empowers the senior leadership. You are a proactive problem solver with exceptional communication skills and a meticulous attention to detail. Given the dynamic and changing nature of the business, the Executive Assistant will bring along for flexibility and foresight, while maintaining confidences related to high-level systems and operations.
The role is a 25 hours / week job, with mainly remote working possibility, thus offering an excellent work-life balance combined with a competitive remuneration package.

Key Duties

  • Support, manage, and facilitate meetings chaired by the VPGM. To include but not limited to logistics planning, meals, development and distribution of meeting materials, draft of objectives and agenda, preparing power point presentations, taking minutes, and dissemination of outcomes, decisions, and action items.
  • Attend meetings assigned by VPGM, take notes, provide summary, track action items and follow-up to completion.
  • Work closely with the EMEA Management Team monitoring progress of key initiatives and ensure that commitments and priorities are being executed.
  • Track, follow up and remind VPGM of outstanding action items.
  • Prepare various correspondence on VPGM's behalf ensuring high level of professionalism/appearance at all times; mirroring style and format.
  • Prepare various reports, power points, and presentations for VPGM in a timely fashion.
  • Manage VPGM calendar/travel to make most effective use of his time.
  • Daily review and management of VPGM's email. Prioritize emails and determine appropriate follow-up.
  • Arrange detailed travel plans and itineraries for business and customer engagements.
  • Complete, monitor and manage expense reports.
  • Keep VPGM well informed of upcoming commitments and responsibilities, following up appropriately.
  • Meeting planning and organisation
  • Human Resources; Onboarding and Induction programs,
  • International Bank Holiday Overview, Monitor Covid restrictions to support the travelling colleagues.
  • Flowers to employees at special occasions.

Key Skills, Qualifications and Client Requirements

  • Solid organizational and time management skills
  • Attention to detail, follow up skills
  • Ability to work independently and efficiently, manage and prioritize multiple tasks and execute reliably
  • Ability to maintain strict confidentiality
  • Minimum 5 years' experience;
  • Proficient in Microsoft Office (Work, Excel, PowerPoint)
